This Privacy Policy explains how LEXOM Systems collects, uses, stores, discloses, and protects personal information when you use the LEXOM platform, website, forms, report generation workflows, Ad Placement & Evidence services, support channels, and related services.

2. Information we collect

We may collect agent profile details, agency details, contact information, MARN, ABN, employer and sponsor details, nominee details, candidate and applicant details, resumes, job advertisements, recruitment outcomes, uploaded evidence, generated reports, payment metadata, support messages, usage records, technical logs, device information, and authentication information.

3. Sensitive and third-party information

Information uploaded to LEXOM may include personal information about employers, nominees, candidates, applicants, employees, clients, and other third parties. It may also include sensitive information contained in resumes or supporting documents. You are responsible for ensuring that you have the authority and any required consent to provide this information to LEXOM.

4. How we collect information

We collect information directly from you when you create an account, complete onboarding, upload documents, submit forms, request reports, request Ad Placement & Evidence services, make payments, contact support, or otherwise use the platform. We may also collect information from third-party services used to provide authentication, payments, hosting, email delivery, ad placement, document processing, and related functionality.

5. How we use information

We use information to operate LEXOM, create and manage accounts, prepare LMT reports, process evidence, support ad placement workflows, communicate with you, process payments, send confirmations, provide support, maintain audit records, improve the platform, protect security, detect misuse, comply with legal obligations, and administer our business.

6. AI-assisted processing

LEXOM may use AI-assisted processing to help extract, structure, summarise, draft, validate, or transform information for report preparation and workflow support. You must not upload information unless you have authority for it to be processed for these purposes.

7. Disclosure to service providers

We may disclose information to service providers who help us operate LEXOM, including hosting providers, database providers, authentication providers, payment processors, email delivery providers, AI and document processing providers, analytics or monitoring providers, professional advisers, and third-party advertising platforms where needed for Ad Placement & Evidence services.

8. Overseas processing

Some service providers may store, process, or access information outside Australia. By using LEXOM and providing information to us, you acknowledge that information may be processed by third-party providers in locations outside Australia, subject to their systems and controls.

9. Security

We use reasonable technical, organisational, and access control measures to protect information. However, no online service, transmission, storage system, or third-party platform can be guaranteed to be completely secure. You are responsible for maintaining the security of your account credentials and controlling access to your devices and email account.

10. Retention

We retain information for as long as reasonably needed to provide the service, maintain business and audit records, comply with legal obligations, resolve disputes, enforce agreements, improve the platform, and support report or evidence traceability. You may request deletion, but we may retain information where required or reasonably necessary for legitimate business, legal, compliance, security, or recordkeeping purposes.

11. Access and correction

You may request access to or correction of personal information we hold about you by contacting support@lexom.com.au. We may need to verify your identity or authority before responding. Some information can be updated directly through your LEXOM account.

12. Complaints

If you have a privacy complaint, contact support@lexom.com.au with details of your concern. We will consider the complaint and respond within a reasonable time. If you are not satisfied with our response, you may have the right to contact the Office of the Australian Information Commissioner or another relevant regulator.

13. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we may require you to review and accept the updated Privacy Policy before continuing to use LEXOM. When you accept an updated Privacy Policy, we may record your acceptance and email you the full policy text for your records.
